Where a school enters a delegation, its own supervising teachers do, per their safeguarding duties and agreed supervision ratio. Where students register their own team, supervision on the day rests with each delegate's parent or guardian, who confirms this in the consent form. Proplr provides the event framework, venue safety arrangements, first-aid cover, staff and volunteer presence, sign-in/sign-out procedures and an escalation contact, but does not act as guardian of any delegate or provide individual supervision. Outside published event hours, and during travel to and from the venue, delegates remain the responsibility of parents and their delegation's supervisors.

Registration is complete only when each member’s form is fully submitted with the required documents, payment has cleared, and Proplr issues written confirmation. For school delegations that confirmation also goes to the head delegates and supervising teachers. Proplr may decline any registration at its discretion before confirmation, with any payment returned in full.

For identity verification and safeguarding. Sensitive documents (Emirates ID images, consent forms, medical disclosures) are stored in access-controlled cloud systems, limited to named staff with a need to know, and never sent via messaging apps or open spreadsheets. Emirates ID images and medical disclosures are deleted within 30 days after the event; basic registration records are kept for 12 months for certificate reissuance and dispute handling. Data is never sold and never shared with sponsors, limited sharing occurs only with the venue for safety lists, first-aid providers on event days, contracted payment and IT processors, and as required by KHDA. Handled consistently with UAE Federal Decree-Law No. 45 of 2021 (PDPL).

Participation fees have not been published yet. They will be announced here before any payment is requested, and applying now costs nothing and commits your school to nothing. The full refund, substitution and cancellation terms will be published alongside the fees.

Included for every delegate and fully optional, it has its own tick-box on the consent form, with supervision continuing through the evening.

Yes. Register your own team of three or four students, no teacher and no school sign-off needed, and your team can mix students from different schools. Pick a track, add your members, and each member completes their own registration. Places are first come, first served and shared with school delegations, so a track can close once it fills.

Photography and filming occur at the event. A delegate’s identifiable image is used in Proplr materials only where the photo/video consent box is ticked. Delegates who opt out receive a visual identifier such as a different lanyard colour, and content teams are briefed accordingly. Crowd shots in which individuals are incidental may still occur.
